Schedule: Mon- Fri 10 AM to 4 PM

We are excited to invite a dedicated and professional Front Desk Administrative Assistant to join our thriving team!

As the first point of contact for our valued visitors and clients, you will play a crucial role in creating a warm and welcoming atmosphere. Your responsibilities will include managing the front desk, assisting with administrative tasks, and supporting various departments.

Key Responsibilities:

  • Greeting and welcoming visitors, clients, and employees with a positive attitude.
  • Answer direct phone calls to the appropriate departments.
  • Manage the front desk area, ensuring it is clean and organized.
  • Manage incoming and outgoing mail and packages.
  • Maintain office supplies inventory and place orders when necessary.
  • Assist with administrative tasks such as filing, photocopying, and data entry.
  • Provide support to other departments as needed.
  • Ensure compliance with company policies and procedures.


Training Provided
Daily Duties –

  • Update core inventory.
  • Verify employees' attendance for the previous day.
  • Check voicemail.
  • Enters employee time sheets.
  • Process customers' credit app as needed.
  • Enter customers' orders & email the order acknowledgments to customers.
  • Create & stage T-cards.
  • Enter cost accounting.
  • Print, load, and tag (HC + partitions) / box labels (partitions)
  • Set up LTL shipment.
  • Create a ship sheet.
  • Update the order log spreadsheet.
  • Send Orders Entered Report
  • Match AP invoices with packing slips and purchase orders.


Weekly Duties –

  • Put together aging statements on Wednesday.
  • Bill customers on Friday
  • Order supplies based on a quick inventory taken.
  • Check & create a positive pay spreadsheet.
  • File AP checks & completed customer orders and payments.
  • Monthly Duties –
  • Enter inventory.
  • Put commission statements together.
  • Give drug-free workplace training documentation to employees and document sign-off.

Job Requirements

Qualifications:

  • Fluent in English (Bilingual English/Spanish preferred)
  • A high school diploma or equivalent, an associate degree or higher, is preferred.
  • Proven experience as a front desk representative, receptionist, or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Professional appearance and demeanor.
  • Ability to manage sensitive information with confidentiality.
  • Drug-free Workplace
  • Clean criminal History
